Education and work experience:

Higher technical education (University degree or higher) in the relevant speciality and not less than 4 years of work experience as per speciality.

Main functions:

  • Coordinate the interfaces between Field Facilities Management Department and other KPO Departments to ensure an effective communication and sharing information to gain alignment and support provision to the development of brownfield modifications assigned to Field Facilities Management Department.
  • Applying Project Controls to ensure that Field Facilities Management Department projects are defined and executed in line with the approved work program and budget. Provide coordination of all brownfield modifications between Operating Units, Field Facilities Management, Business Services and Finance Department over a project life cycle.
  • Organization and coordination of centralised materials management process in Field Facilities Management Department starting from initial materials request through expatiating and until their released to site. Coordination and preparation of internal and external stakeholder communications through Field Modification Steering Committees, Turnaround meetings and project reporting to demonstrate progress against plan and expenditure.
  • Coordinate projects through the full life cycle from concept phase to execution for al projects related to Field Facilities Modifications Department.
  • Interface between various engineering disciplines, Units as Customer and other departments accountable of projects such as Project Development Directorate, Projects Execution Directorate Departments for expertising requirements and Contractors.
  • Ensure that all processes are documented planned and implemented. Ensure all tracking registers and database are properly maintained.
  • Coordinate and prepare the monthly Field Modifications Request Steering Committee, preparing minutes of meeting, reporting and closing out actions arisen from the Committee’s decision.
  • Interface with Business Services and P&M Units for Budget preparation process for a life cycle of each project (EPC). Organise prioritisation sessions with Units to prioritise the modifications requests against Budget, capacity, capability of Engineering Departments.
  • Organise and hold Monthly Progress Meetings with Units to give on update on Projects progress.
  • Carry out a coordination of every cycle of each stage (design, procurement and construction) by making sure that all projects are effectively planned, monitored, updated and prioritised in a timely manner.
  • Organise review meetings to discuss a project status and to assist in planning and developing alternatives to accommodate changes in priorities.
  • Report the progress of the projects to Field Facilities Modification Manager on a monthly basis by means of statistics. Ensure time schedules, preliminary cost estimates are provided by both Field Engineering and MJWS section.
  • Coordinate MoC process to make sure all minor modifications projects are in accordance with KPO Brownfield Management of Change procedure.
  • Coordinate materials requirements for engineering activities by ensuring a smooth progress of all the materials pertaining to the workpack execution
  • Interface with Stakeholders to provide an up to date information on materials for all projects. Liaise with Contracts and Procurement Departments, Warehouse and Materials Department to make sure the materials are schedule and arrived on time.
  • Control and ensure the Purchase Requisitions and Purchase Orders are issued at the required time and if not, highlighting the deficiency to FFM, C&P Departments and recommending remedial measures. Control and ensure a timely preparation and distribution of material reports detailing the status of Purchase Requisitions and Purchase orders. Facilitate the Technical Evaluation process within FFM in line with project schedule.
  • Provide the Handover documentation from Engineering Design to designated execution department. This is to include: proceed with implementation, budget allocation, work order raised by an execution team, materials reserved, purchased, informing lead time of materials delivery.
  • Ensure facilitation and support to Execution Department in coordination of handed over completed WKP ready for implementation from MoC readiness, ensuring Level 4 Plans provided by Execution Contractors, checking if Work orders are raised in SAP based on notifications submitted by Units and etc. Develop and update forms and procedures related to Department activity.

Necessary knowledge and skills:

  • Mastery English is an advantage on this role.
  • Competence in the process of multidiscipline engineering workflows with working knowledge of the significance in deliverable hierarchies and prioritisation.
  • Management of Change (MOC).
  • Prospects of technical development of the venture.
  • Primavera, SAP system, Microsoft office application.
  • Experience in coordination of activities involving different disciplines.
  • Liaison and communicating at all levels within KPO and Contractors organisations.
  • Direct reporting to line manager and ability to issue relevant reports
  • Fluent communication.
